The client

Birla Institute of Applied Sciences (BIAS) in Bhimtal, Uttarakhand, has 1,000+ students living in its on-campus hostels.

The problem

Hostel outings were tracked in paper registers with no reliable record.

Whenever a hostel student wanted to leave campus, the request, the warden’s approval and the gate entry were all handled on paper. Paper registers gave no reliable record of who was out, when they left, or whether they came back on time. Parents had no visibility, and checking a past outing meant searching through registers by hand.

What we built

A mobile app connecting students, parents, wardens, security and administration, with digital requests, approvals and gate check-in.

  • Students request an outing from the app.
  • Parents are notified and can approve.
  • Wardens approve or reject requests from their phone.
  • Security checks students out and back in at the gate with a QR scan.
  • Administration sees every outing on record, with reports.
